Practice365 Privacy Policy

Practice365 is developed and operated by Logikosoft Technologies LLC (“Logikosoft,” “we,” “us,” or “our”). This Privacy Policy describes how we collect, use, and protect information in connection with Practice365 (the “Software”).
1. Scope
This policy applies to information collected through:
- Our website and lead/demo forms
- Your Practice365 account and license administration
- Managed Hosting, if you have selected that deployment option
- Customer support and SMS/email communications
If you use Practice365 in Self-Hosted mode, your client, matter, billing, and case data resides entirely on infrastructure you control. Logikosoft does not access, store, or process that data. This policy’s data-handling sections apply only to information you provide directly to us (account, billing, support, and marketing contact information) — not to the data within your self-hosted instance.
If you use Managed Hosting, we host your Practice365 instance and the data within it on your behalf, as described in Section 4 and your Hosting Addendum.
2. Information We Collect
- Account and billing information: name, firm name, email, phone number, billing address, payment details (processed via Stripe — see Section 6).
- Lead and demo form information: name, email, firm name, number of users, current software/spend, submitted through our website.
- Support communications: information you provide when contacting support, including authorized support contacts listed on your Order Form.
- SMS contact information: mobile phone number and consent status, if you opt in to text communications (see Section 8).
- Usage data: basic technical data such as license activation, version checks, and error logs, used to deliver support and updates.
- Hosted client/matter data (Managed Hosting only): the data your firm inputs into Practice365 — client records, matters, billing entries, documents, and communications — is stored on our hosting infrastructure under the terms of your Hosting Addendum.
3. How We Use Information
We use the information above to:
- Provide, deliver, and support the Software
- Process payments and manage your license and support term
- Respond to support requests
- Send account, billing, and system notifications (including by SMS, if opted in)
- Improve our products and communicate about updates, if you’ve consented to marketing contact
We do not use hosted client/matter data for any purpose other than providing the hosting service itself.
4. Managed Hosting Data Handling
For customers on Managed Hosting, we act as a data processor with respect to the client and matter data stored in your instance. We:
- Do not access hosted data except as necessary to provide support you request, perform maintenance, or as required by law
- Maintain reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of legal client data
- Do not use hosted data to train models, for analytics unrelated to service delivery, or for any third party’s benefit
- Will provide a full data export on request, including upon termination of hosting, consistent with your Hosting Addendum
Because Practice365 stores privileged client information, we recognize firms’ obligations under state bar rules governing confidentiality and vendor use of cloud services (e.g., ABA Model Rule 1.6(c) and analogous state ethics opinions), and we structure our hosting practices to support your compliance with those obligations. This policy does not itself constitute a legal opinion on your ethical obligations — consult your bar’s guidance directly.
5. SMS / Text Messaging
If you provide your mobile phone number and opt in, Practice365 may send you SMS text messages related to your account, including appointment reminders, billing and payment notices, system or security alerts, and customer support communications.
Consent. SMS consent is never a condition of purchasing or using Practice365. You may create an account, sign a lifetime license, and use the full software without opting in to text messages.
Frequency and cost. Message frequency varies based on your account activity. Message and data rates may apply from your wireless carrier.
Opt-out and help. You can opt out at any time by replying STOP to any message, and opt back in by replying START. For assistance, reply HELP or contact us at [support email/phone].
No sharing for marketing purposes. Mobile phone numbers and SMS consent collected for this purpose are not shared with third parties or affiliates for marketing or promotional purposes. This information is used solely to deliver the messaging service described above.
Carriers. Carriers are not liable for delayed or undelivered messages.
6. Third-Party Service Providers
We use the following categories of service providers, each bound by their own privacy and security terms:
- Payment processing: Stripe, for license fees and support/hosting billing
- SMS delivery: [Twilio], for opted-in text communications
- Hosting infrastructure: AWS, for Managed Hosting customers only
We do not sell personal information or hosted client data to any third party.
7. Data Retention
- Account and billing records are retained as required for tax, accounting, and legal purposes.
- Hosted client/matter data (Managed Hosting) is retained for the duration of your hosting term and made available for export for [30] days following termination, after which it may be deleted per your Hosting Addendum.
- Support communications are retained for [period] to maintain service history.
8. Your Rights
You may request access to, correction of, or deletion of your account and billing information by contacting [privacy email]. For hosted client/matter data, requests should come through the firm’s authorized account administrator, consistent with your obligations to your own clients.
9. Children’s Privacy
Practice365 is a business tool intended for use by licensed legal professionals and their staff. It is not directed at, and we do not knowingly collect information from, individuals under 18.
10. Changes to This Policy
We may update this policy from time to time. Material changes will be communicated to active customers via email or account notice. Continued use of Practice365 after changes take effect constitutes acceptance.
